Check-In Printer Setup: Zebra with Windows

Please make sure to use the recommended version of Firefox ESR.

BEFORE YOU BEGIN - The printer configuration presented here is for the Zebra 420 Desktop series printer (GK420, GX420, GC420, ZD420). You may need to adjust the configuration if using another Zebra printer.

I. Prepare your computer for use as a Check-In Station

1: Set up your Check-In station using the same Windows account you will use to run Check-In

2: If you have multiple Windows accounts set up on the Check-In Station computer, determine which Windows account you will use when running the computer for Check-In purposes

3: Make sure that account is set up as an administrator (you can change the account to limited after you have completed the setup process)

II. Connect Hardware and Install Drivers

Setting up a label printer for Check-In is not like setting up a typical printer, so follow the steps for installing the printer drivers carefully.

1: Load your Zebra printer with 3“ wide by 2” tall labels

2: Connect and turn on your Zebra printer.

3: Connect the USB printer when prompted during the installation. Note the USB port to which the printer is connected. If in the future, the printer is ever disconnected, it should be reconnected to the same USB port.

4: To update the driver, download the Zebra Designer Driver. In some cases, you may also find it helpful to download the Zebra Setup and Zebra Utilities app (Windows Only).

5: Install the Zebra Designer Driver. When asked to Select Printer, choose your printer model from the list of printers in the right column.

6: At the Additional Install Options screen, clear the 'Launch installation of Zebra Font Downloader Setup Wizard' and 'Launch installation of Zebra Status Monitor Setup Wizard' checkboxes and click Finish.

NOTE - If you have only one printer accessible on the computer, the download will begin automatically. Right-click the driver file from the downloads bar and select Open > Run > OK. Then unzip the files, click Next to move through the welcome wizard, and select Install Printer.

III. Configure the Printer

The printer configuration presented here is for the Zebra 420 Desktop printer. You may need to adjust the configuration if using another Zebra printer. You will configure the printer through the Windows printer properties.

1: Make your Zebra label printer the default printer.
In Windows 10, type Devices and Printers in your Cortana Search Box (located next to the start menu). Open that window and right-click on the Zebra printer icon and choose 'Set as default printer' in the context menu.

2: Open the printer driver properties in the 'Devices and Printers' window:
In Windows 10, 8.1, and 7 this is all done by right-clicking on the Zebra printer icon and selecting 'Printer properties' in the context menu.

3: Select the Advanced tab and click the 'Printing Defaults…' button.

4: Choose the Options tab.
Confirm the paper format units are set to inch.
Confirm the orientation is set to portrait.
Confirm in the Size section the width is set to 3.00“ and the height is set to 2.00”.
Click OK. This will return you to the Printer Properties box.

5: Select the General tab and click 'Printing Preferences…'

6: Choose the Options tab in this area also.

  Confirm the paper format units are set to inch.
  Confirm the orientation is set to portrait.
  Confirm in the Size section the width is set to 3.00" and the height is set to 2.00".
  Click OK.

7: IMPORTANT - Back in the printer properties dialog, select the Printer Settings tab.

  In the 'Override Application Default Settings' section, check 'Always use drivers settings'.
  Click OK.

8: Close the Printers and Faxes, Printers, or Devices and Printers window.

IV. Adjust the Page Setup

The Page Setup presented here is for use with the FireFox Web Browser and the Zebra 420 Desktop printer. You may need to adjust the page setup if using another Zebra printer.

1: Launch the Firefox web browser and open the Print properties.

  Open the menu by clicking the Menu button (the three horizontal slashes in the top right of the browser)
  Then select Print > Page Setup…
  You will come back to this page in the very last step of this part of the process so please do not close out of the Print Preview until we are completely finished.

2: On the Format & Options tab:

  Set the Orientation option to Portrait
  Verify that the Scale field is set to 100%
  Verify that the 'Shrink to Fit Page Width' checkbox is not checked
  Check the 'Print Background (colors & images)' checkbox

3: On the Margins & Header/Footer tab:

  Set the Left and Top margins to 0.1
  Set the Right and Bottom margins to 0.0
  Set all of the Headers & Footers to ‘—blank—'

4: Click OK to save your changes and close the Page Setup dialog box

5: Click the Print Button located next to the Page Setup button on the page.

  Please ensure the correct printer is selected in the drop-down and then click the 'Properties' button directly to the right of the printer drop down.
  In the window that opens, you will want to verify/change the settings to match what you put in earlier in the Printer Properties via the Devices and Printer window in Step III of this article.
      Is the orientation portrait?
      Is the label size 3” x 2”?
  Prior to clicking the Print button, please make sure to change the Print range to print 'Pages from 1 to 1' so that you only print one label.
  Once you have verified all these settings you can click 'OK'.
  After printing, if the Page Setup menu is still open, please click the Close Button.

V. Test the Printer

Now you can test your printer and page settings before doing your first live check-in.

1: Run Check-In and check in a person to an event. You may need to create a test event for today.

2: In the print dialog, make sure the Printer pull-down menu is set to your Zebra label printer; then click Print.

3: Your labels should print out and look like the examples below.

VI. Optional: Optimizing Firefox for Check-In

This step is optional, however, Firefox can be configured so that the print dialog box will not show each time you print a label. We strongly encourage you to set up both your Manned and Self Check-In stations to prevent these. If the computer is used for purposes other than Check-In, please print using a different browser.

1: Confirm your Dymo label printer is the default printer (see Step III, above).

2: In Firefox, type 'about:config' in the address bar and press enter.

  You will get a warning message saying 'This might void your warranty!' It's ok. Go ahead and click ‘I’ll be careful, I promise!’. Firefox is free and can be reinstalled if necessary.

3: To prevent the print dialog from opening:

  Type ‘print.always_print_silent’ in the search box
  If you find a line with this exact phrase, ensure the ‘Value’ is set to true. If it is set to false, double-click the line to toggle it to true.
  If you do not find this exact phrase:
      Right-click in the empty screen
      In the resulting menu, choose 'New > Boolean'
      Type 'print.always_print_silent' in the 'Enter the preference name' field and click OK
      Select true from the choices and click OK.

4: To hide the print progress bar:

  Type ‘print.show_print_progress’ in the search box
  If you find a line with this exact phrase, ensure the ‘Value’ is set to false. If it is set to true, double-click the line to toggle it to false.
  If you do not find this exact phrase:
      Right-click in the empty screen
      In the resulting menu, choose 'New > Boolean'
      Type 'print.show_print_progress' in the 'Enter the preference name' field and click OK
      Select false from the choices and click OK

5: To hide the labels from showing on the screen:

  Type loadDiverted in the search bar
  Find browser.tabs.loadDivertedInBackground and double-click it to ensure it's set to true
